  • Engage with us in other related ways, including any marketing or events.

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

  • names
  • phone numbers

Sensitive Information. We do not process sensitive information.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Website analytics

In Short: Our website uses privacy-friendly, cookie-free analytics; no personal data is stored.

On wevoxly.com we use a self-hosted instance of Umami, an open-source analytics tool, to count page views and see which pages and buttons are used. It sets no cookies and stores no personal data: your IP address and browser details are used only to derive a temporary, non-reversible visitor identifier that is discarded daily, and no data leaves our own server in Ireland. Because nothing can identify you, no consent banner is required.

2. How do we process your information?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts.
  • To deliver and facilitate delivery of services to the user.
  • To respond to user inquiries and offer support to users.
  • To send administrative information to you.
  • To request feedback.
  • To send you marketing and promotional communications (you can opt out at any time).
  • To protect our Services, including fraud monitoring and prevention.
  • To identify usage trends.
  • To save or protect an individual's vital interest.

3. What legal bases do we rely on to process your information?

In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason to do so under applicable law.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases:

  • Consent. You can withdraw your consent at any time.
  • Performance of a Contract. To fulfil our contractual obligations to you.
  • Legitimate Interests. When it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms.
  • Legal Obligations. Where necessary for compliance with our legal obligations.
  • Vital Interests. To protect your vital interests or the vital interests of a third party.

4. When and with whom do we share your personal information?

In Short: We may share information in specific situations described in this section and/or with the following categories of third parties.

The categories of third parties we may share personal information with are as follows:

  • AI Platforms
  • Cloud Computing Services
  • Communication & Collaboration Tools
  • Data Storage Service Providers
  • Website Hosting Service Providers

We may also need to share your personal information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

5. Do we offer artificial intelligence-based products?

In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.

We provide the AI Products through third-party service providers ('AI Service Providers'), including Anthropic. Your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products.

Our AI Products are designed for AI automation, AI bots, AI applications, machine learning models, natural language processing, and text analysis.

All personal information processed using our AI Products is handled in line with this Privacy Notice and our agreement with third parties. To opt out, contact us using the contact information provided.

6. Is your information transferred internationally?

In Short: We may transfer, store, and process your information in countries other than your own.

Our servers are located in Germany. Regardless of your location, please be aware that your information may be transferred to, stored by, and processed by us in our facilities and in the facilities of the third parties with whom we may share your personal information, including facilities in Germany, France, the United States, and other countries.

If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, we have implemented appropriate safeguards including the European Commission's Standard Contractual Clauses for transfers of personal information between us and our third-party providers.

7. How long do we keep your information?

In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law. When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information.

8. How do we keep your information safe?

In Short: We aim to protect your personal information through a system of organisational and technical security measures.

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure.

9. Do we collect information from minors?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependents use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data.

10. What are your privacy rights?

In Short: In some regions, such as the EEA, UK, and Switzerland, you have rights that allow you greater access to and control over your personal information.

These rights may include: (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making.

You can make such a request by contacting us using the contact details below. If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority.

11. Controls for do-not-track features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ('DNT') feature or setting you can activate to signal your privacy preference. At this stage, no uniform technology standard has been finalised. As such, we do not currently respond to DNT browser signals.

12. Do we make updates to this notice?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated Revised date at the top of this Privacy Notice.

15. WeVoxly Stock Sync Chrome extension

In Short: The extension copies your dealership's own car adverts from Uploader.ie into your WeVoxly stock list. It only reads, it never changes anything on Uploader, it sends data only to WeVoxly, and nothing it handles is sold or used for anything else.

The WeVoxly Stock Sync extension (“the extension”) is for car dealerships that use WeVoxly and publish their stock with Uploader.ie. It is used by the dealership's WeVoxly admin users, not by the public.

What the extension reads

  • Your adverts on Uploader.ie. When you press Scan or Sync all, or when you save or delete an advert, the extension reads your dealership's adverts from beta.uploader.ie using the session you are already signed in with. This covers the vehicle details: registration, make, model, version, year, price, mileage, fuel, gearbox, engine, colour, body type, doors, seats, NCT and road-tax dates, the advert description and features, whether it is reserved, new or used, advert numbers, the branch it belongs to and its Carzone / CarsIreland links. Advert data is about vehicles; the extension does not read your customers' enquiries or contact details.
  • Your WeVoxly sign-in. If you are signed in to the WeVoxly panel (admin.wevoxly.com) in the same browser, the extension takes that panel session so you do not have to sign in twice. You can also sign in inside the extension with your WeVoxly email and password; the password is sent once to WeVoxly to sign you in and is never stored by the extension. The extension never reads your Uploader password or cookies.
  • Diagnostics. To spot problems when Uploader changes its website, the extension keeps a technical record of the requests the Uploader page makes: the address path (with advert numbers and registrations replaced by placeholders), the names of the fields (never their values), status codes and timings, plus the extension's own recent activity messages (for example “Full sync: 4 added”, which can name a car by year, make and model, and the email you signed in with), the extension version and your browser version.

The extension works only on beta.uploader.ie and admin.wevoxly.com. It does not read any other website, your browsing history, or anything you type on other sites.

Where the data goes and why

  • Advert data is sent only to WeVoxly (api.wevoxly.com, our servers in Germany) and stored in your dealership's stock list, so that your WeVoxly assistant answers customers about the cars you actually have, at the right price.
  • Diagnostics reports are sent to WeVoxly automatically when something goes wrong, and when you press “Send diagnostics”. We use them only to keep the extension working.
  • All data travels over encrypted HTTPS. Each dealership's data is kept separate: one dealership's account cannot read or change another's.
  • We do not sell this data, do not use it for advertising, credit or lending decisions, and do not use or share it for any purpose unrelated to the extension and the WeVoxly service. The extension contains no advertising or third-party tracking and loads no code from the internet.

How long it is kept

  • In your browser: your WeVoxly session (until you sign out, or for up to 7 days), the last 60 activity messages, the diagnostics record (the last 300 events) and a copy of each advert it has read, so that unchanged adverts are not read again. Adverts no longer on Uploader are removed from this copy at the next Sync all. Removing the extension deletes all of it.
  • At WeVoxly: cars stay in your stock list for as long as your dealership uses WeVoxly; a car taken off Uploader is hidden from customers at once and archived after 48 hours. All of it is deleted 30 days after a subscription ends, as set out in our Terms. A Scan's working copy (the summary rows of your adverts) is replaced by your next Scan and expires after 7 days; expired copies are deleted when the next Scan runs. Diagnostics reports are deleted after 90 days.
